The Challenge

Bid teams in medical device and healthcare companies face the same problems:
  • Manual document review: Reading hundreds of pages to extract requirements takes days.
  • Compliance gaps: Requirements are missed or misinterpreted, leading to disqualification.
  • Pricing guesswork: Without historical data, pricing decisions are reactive, not strategic.
  • Inconsistent proposals: Each bid manager formats proposals differently, weakening brand perception.
  • No feedback loop: Win/loss outcomes are not captured, so the same mistakes repeat.
  • Capacity limits: Small teams can only handle a few tenders at a time, leaving revenue on the table.

How MedStrato Helps

MedStrato provides an end-to-end tender management platform where AI handles the heavy lifting and humans focus on strategy and judgment.

Step-by-Step Workflow

Step 1: Create the Tender

A bid manager receives a hospital procurement RFP for surgical instruments. She opens MedStrato, clicks New Tender, fills in the tender name, issuer, estimated value, and submission deadline. The tender appears in the pipeline with a Lead stage tag. Time spent: 3 minutes.

Step 2: Upload and Parse Documents

She uploads the 150-page RFP (PDF) and two amendment documents. One click on AI Parse extracts 52 technical parameters organized into 4 categories. The Matched indicator shows 0% — ready for product mapping. Time spent: under 1 minute (AI processing takes seconds).

Step 3: Technical Compliance

In the Technical editor, she clicks Match Products to auto-link her company’s catalog to the 52 requirements. AI flags 4 items as Partial compliance. She opens Tender Intel and asks “What certification is required for parameter 17?” — the AI cites page 43 of the specification. She resolves all flags, then clicks Generate Proposal for each section. Time spent: 2 hours (vs. 3–5 days manually).

Step 4: Commercial Pricing

The finance lead opens the Commercial tab. The quotation table is pre-built from matched products. She uses AI price suggestions on consumable lines, adjusts capital equipment margins, and adds a service fee column. The margin tool confirms 22% gross profit — within target. Time spent: 45 minutes.

Step 5: Generate and Export the Proposal

In the Tender Package tab, the team selects 11 sections (cover, TOC, executive summary, technical approach, commercial summary, and more). Generate All produces a complete draft. The marketing lead uses Professional tone adjustment on the executive summary and a custom rewrite to highlight the company’s local service network. They export as PDF and finalize. Time spent: 30 minutes.

Step 6: Post-Bid Debrief

Three weeks later, the tender is awarded to the team. The bid manager moves it to Won and fills in the debrief: “Won on technical compliance and local service commitment. Pricing was competitive but not the lowest.” This data feeds into MedStrato’s AI scoring for future opportunities.
